Position
Title: Administrative Assistant
Reports to: President & CEO (with partial secondary reporting to Sr. Vice President & Chief Operating Officer on office support duties)
Salary: Commensurate with education and work experience
Location: Washington, D.C.

Duties and Responsibilities

Administrative Support for HACR’s President and CEO
• Maintain an updated and accurate calendar for the President and CEO, as well as schedule appointments and meetings as requested. Provide appropriate background information for scheduled meetings as necessary.
• Prepare and confirm all travel arrangements (i.e. hotel, airfare, etc…) and resolve any related travel-related difficulties.
• Reconcile travel and expense reports, including reimbursements, in a timely manner.
• Communicate with parties as needed on behalf of President and CEO to help facilitate routine business matters.
• Compose, prepare, and proofread correspondences, office memos, and reports.
• Maintain an extensive filing system for correspondence, business matters, and other related information. Assist with updating SalesForce database by including new contacts, note for speaking engagements, or other relevant conversations.
• Work with the director of communications to prepare data points and power point presentations for speaking engagements, also responsible for scheduling speaker prep calls, and sending bio/headshot when requested.
• Prepare materials for board of directors meetings and board committee conference calls. Handle all logistics for scheduling board meetings including but not limited to transportation and hotel accommodations, as well as food.

Office Support
• Screen telephone calls and incoming postal mail. Respond promptly to incoming correspondence as appropriate and as requested.
• Greet and receive office visitors including clearing visitors through security.
• Communicate with staff on expected business visitors.
• Provide office support of HACR programs and events during peak planning periods, when needed.
• Travel for HACR programs and events, when needed.
• Perform other administrative duties as requested.

Qualifications

• High school diploma required, college degree a plus.
• Strong written and verbal communication skills.
• Ability to work with sensitive information.
• Must be organized and highly detail-oriented.
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Dropbox, and similar communications administrative tools; knowledge of SalesForce a plus.
• Willingness to take on additional responsibility for other duties and projects as assigned.
• Flexibility to work beyond normal business hours during peak program planning season.
• Occasionally attend evening work related events; Ability to travel inside the U.S. as required.
• Prior experience as an administrative assistant or secretary a plus.
• Fluency in Spanish (written and verbal) a plus.
